A useful appointment confirmation tells the customer what is booked, when and where to attend, and how to request a change. It should match the actual calendar. A scheduled WhatsApp message communicates those details; it does not reserve a time slot, check availability or replace your booking system.

Check the appointment before writing

Verify the customer, service, date, time and location or meeting link. Include the time zone when people may be in different places. Add arrival instructions only when necessary. For a salon, name the booked service and address rather than adding unrelated promotional content.

Send a clear confirmation

Confirmation template: “Hi [name], your [service] is booked for [date] at [time], at [location]. Can you confirm that these details are correct? If you need a different time, please reply here.” Replace all placeholders and check that the appointment is actually reserved before sending.

If the appointment is already confirmed, acknowledge that status: “Thanks, [name]. Your appointment for [service] on [date] at [time] is confirmed. Please message us if anything changes.” Record the answer in the calendar or process your business uses.

Prepare a reminder that helps the visit

Reminder template: “Hi [name], a reminder about your [service] on [date] at [time], at [location]. [Useful preparation instruction]. If you cannot attend, please let us know here.” Choose a reminder time that leaves room for a practical response. Avoid requesting unnecessary personal information.

Make rescheduling a clear conversation

Customer request: “Of course, [name]. Which days or times would suit you? I will check availability and confirm a new appointment.” Business change: “Hi [name], we need to change your [date/time] appointment. Would [option A] or [option B] work? I will confirm once you choose.” Offer only available options.

After agreeing a change, update the actual calendar first. Then review pending confirmations and reminders for the old time. Edit or cancel them when their status allows, and send revised details. A message saying “rescheduled” does not update availability by itself.

Check sending conditions and outcomes

TappyWhats sends through the originating browser. Keep that computer and browser online with WhatsApp Web open and connected. After an interruption, review pending work and inspect the conversation before retrying an uncertain send. Each schedule has its own date and time. Schedules do not repeat automatically; prepare each future send separately.

Automation runs on your PC — not in the cloud

Automated sending requires your computer to be on, an internet connection and WhatsApp Web to be open. Review pending sends after an interruption.

Do I need to leave my computer on for automations to work?

Yes — and that applies to everything automatic: automatic follow-up, scheduled messages and bulk sending (remarketing). TappyWhats has no server sending messages for you: your own computer does the work, inside the browser, in the WhatsApp Web tab. In practice, your PC is the server. If it is off, asleep, offline or WhatsApp Web is closed, nothing is sent at that time. If your routine sends overnight, on weekends or throughout the day, the computer needs to stay on 24 hours a day, with the browser open on WhatsApp Web.

Why doesn’t TappyWhats send from the cloud, like other platforms?

Because that exact choice is what keeps the price so low. A cloud platform has to keep a server connected to your WhatsApp 24 hours a day, and that cost shows up in the monthly fee. TappyWhats runs inside the browser you already use: there is no server of ours connected to your WhatsApp sending messages, so there is no per-customer sending infrastructure cost. The price of that savings is depending on your computer being on for anything automatic. It’s a deliberate trade-off, made for people who are just starting out and don’t want to pay a high monthly fee.

If I turn off my computer or close the browser, will the automation pick up again on its own?

No. This is the part that needs to be clear before you buy: the browser does not run in the background. If the computer shuts down, goes to sleep, loses internet or the browser is closed, the automation is CUT OFF where it was and does not resume on its own when the machine comes back. When you turn it back on, you need to open WhatsApp Web and MANUALLY REVIEW whatever was left halfway: check who already received it, what didn’t go out, and reschedule what’s missing. A message scheduled for a time when the PC was off is not sent later on its own either. We don’t promise that everything resumes by itself, because today it doesn’t. If your operation can’t depend on this, the way to go is TappyOne CRM (crm.tappy.id), which runs on a server.

Does a closed laptop or a sleeping computer count as “on”?

No. A closed laptop, a computer in sleep or hibernation, and a closed browser cut off the automation just like shutting the machine down — and since it doesn’t resume on its own, each of these situations turns into a manual review afterward. To run overnight: in Windows power options, set sleep and hibernate to "Never" (turning off only the screen is fine), keep Chrome or Edge open on the WhatsApp Web tab, keep the internet connected, and prevent Windows from restarting on its own for updates.

I can’t leave my PC on all the time. Is there a version that runs on a server?

Yes: TappyOne CRM (crm.tappy.id). It’s our platform that runs on our own servers, 24 hours a day — follow-up, scheduling and sending keep happening with your computer off, and your team can access it from anywhere. To sum up the choice: TappyWhats is the low-cost option for people who are just starting out and can leave the PC on; TappyOne CRM is for those who can no longer depend on a machine being on.

Can I rent a cloud machine (VPS) just to keep TappyWhats running?

You can. Some people rent a remote Windows computer and leave the browser open there, precisely so they don’t depend on their home PC. It works, but you end up paying for that machine and looking after it: updates, the WhatsApp Web session dropping, restarts.

What about the features that aren’t automatic — do they also require the PC to be on?

No. The Kanban CRM, labels, notes, quick replies, history and search are used manually: they work when you open the browser and don’t need anything running in the background. The computer-on requirement applies only to things that happen on their own at a set time: automatic follow-up, scheduled messages and bulk sending.

Is TappyWhats free?

Eligible accounts receive seven days of Pro automatically when the connected WhatsApp account is identified, with no credit card required. Free: Remains available after the trial, with lower limits. Editing the Kanban requires active Pro access; account data is preserved. Prices vary by country and are shown on the plans page. Automatic features require the computer to be on with WhatsApp Web open.

Where is my data stored?

It depends on the feature. The Kanban (stages, cards, labels, notes and values), quotes, the Radar, the agenda and your scheduled messages are saved to your account on the TappyWhats server, and they show up on any computer you sign in to. Quick replies, bulk-sending campaigns, tasks and reminders stay in the browser of the computer where you created them; to move them to another computer, use the JSON backup.

Can’t leave your PC on 24 hours a day?

Then the way to go is TappyOne CRM: our platform that runs on a server, 24 hours a day. Follow-up, scheduling and sending keep happening with your computer off, and your team can access it from anywhere.
